Overview
- Support procurement processes for goods, services, and equipment, ensuring compliance with applicable laws and institutional guidelines.
- Assist in drafting, reviewing, and managing contracts, agreements, and purchase orders for institutional needs.
- Provide administrative support for procurement transactions, including document retention and supplier communication.
- Analyze supplier and market data to develop effective sourcing strategies and improve procurement efficiency.
- Collaborate with Contract Officers to manage RFx/bid events and achieve cost-saving objectives.
- Ensure compliance with Federal, State, and institutional procurement regulations and guidelines.
- Utilize procure-to-pay systems to manage contracts and procurement documentation effectively.
- Contribute to the development of procurement policies and procedures to streamline operations.
Key Responsibilities & Duties
- Draft and review complex contracts and agreements for institutional goods and services.
- Support RFx/bid events, including RFPs, IFBs, and RFQs, adhering to procurement laws and guidelines.
- Provide administrative assistance for procurement transactions, ensuring proper documentation and compliance.
- Analyze supplier data to identify cost-saving opportunities and improve purchasing strategies.
- Draft supplier communications and maintain accurate procurement documentation.
- Ensure adherence to procurement regulations and guidelines across all transactions.
- Collaborate with Contract Officers to achieve annual cost-saving and efficiency objectives.
- Contribute to the implementation of procurement systems and tools to enhance operational effectiveness.
Job Requirements
- Bachelor's degree in a related field is required.
- Minimum of 1 year of professional procurement support experience; 3 years preferred.
- Proficiency in Microsoft Office or Google Workspace is essential.
- Experience with procure-to-pay systems like Jaggaer is preferred.
- Certified purchasing or supply chain management credentials are advantageous.
- Familiarity with public bids for construction and facilities services is preferred.
- Experience in higher education or New York State agency procurement is a plus.
- Strong analytical and communication skills to effectively manage procurement tasks.
