Overview

  • Provide executive-level administrative support to senior investment professionals in a dynamic private equity environment.
  • Manage complex schedules, travel arrangements, and correspondence with high attention to detail and urgency.
  • Contribute to office management and team coordination in a hybrid work setting.
  • Utilize advanced systems and databases to maintain records and streamline operations.
  • Support event planning and coordination, including team meetings and executive engagements.
  • Assist with desktop research and administrative tasks related to investment activities.
  • Collaborate effectively with internal and external stakeholders to ensure seamless communication.
  • Contribute to the firm's success by maintaining high standards of confidentiality and professionalism.

Key Responsibilities & Duties

  • Manage calendars and schedules for senior professionals, ensuring efficient time management.
  • Coordinate complex travel arrangements and prepare itineraries for team members.
  • Screen and route incoming communications, ensuring timely follow-up and resolution.
  • Prepare and proofread correspondence, maintaining administrative files and records.
  • Manage expense reports using Concur and oversee office supplies inventory.
  • Maintain and update the firm's database of contacts and interactions.
  • Assist with event planning, including holiday parties, executive dinners, and team offsites.
  • Conduct desktop research and support investment-related activities as needed.

Job Requirements

  • Bachelor's degree required, preferably in a related field.
  • Minimum of 3 years of experience as an Executive Assistant, preferably in asset management or investment firms.
  • Proficiency in managing schedules, travel arrangements, and administrative tasks.
  • Strong organizational and communication skills with attention to detail.
  • Ability to prioritize tasks and work efficiently in a dynamic environment.
  • Experience with Concur and database management systems like DealCloud preferred.
  • Demonstrated discretion and confidentiality in handling sensitive information.
  • Proven ability to collaborate effectively with diverse stakeholders.
