Job Description

Overview

  • Serve as the primary Executive Assistant to the CEO and HR leader, ensuring seamless daily operations and high-level administrative support.
  • Manage complex scheduling, communications, and priorities for senior leadership in a dynamic, fast-paced environment.
  • Coordinate professional communications and announcements, including podcast distribution and client outreach.
  • Maintain a polished front-office presence, acting as the primary point of contact for internal and external stakeholders.
  • Utilize advanced Microsoft Office and Salesforce skills to enhance productivity and workflow.
  • Support HR-related administrative needs on occasion, demonstrating discretion and professionalism.
  • Contribute to the organization’s success by leveraging strong judgment, operational awareness, and financial services expertise.

Key Responsibilities & Duties

  • Manage the CEO’s calendar, scheduling, and priorities, ensuring efficient time management and follow-ups.
  • Coordinate and distribute the CEO’s podcast and professional communications to clients and contacts.
  • Maintain a professional front-office presence, answering calls and directing inquiries with discretion.
  • Utilize Salesforce for client communication, reporting, and administrative tasks.
  • Leverage Microsoft Copilot to enhance productivity and streamline workflows.
  • Draft, format, and send professional communications and announcements with consistency and timeliness.
  • Support HR-related administrative needs in collaboration with the HR leader.
  • Ensure the office operates smoothly by managing priorities and anticipating needs.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in a related field.
  • Minimum of 10 years of experience as an Executive Assistant supporting senior leadership.
  • Prior experience supporting a business owner or CEO preferred.
  • Advanced proficiency in Microsoft Office applications and experience with Microsoft Copilot.
  • Salesforce experience required for client communication and administrative tasks.
  • Exceptional written and verbal communication skills with a high degree of discretion.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Confident, mature presence with sound judgment and emotional intelligence.
