Overview

  • Provide dedicated executive support to senior leadership, ensuring seamless operations in a dynamic, remote work environment.
  • Coordinate complex schedules, travel arrangements, and meetings across multiple time zones with precision.
  • Facilitate effective communication and collaboration with internal teams and external stakeholders.
  • Maintain confidentiality and professionalism while handling sensitive information and high-priority tasks.
  • Support corporate events, leadership meetings, and strategic initiatives to drive organizational success.
  • Adapt working hours to accommodate global time zones and business needs effectively.
  • Collaborate with the executive assistant team to ensure consistent and high-quality support across departments.
  • Contribute to the success of a leading organization in the biopharmaceutical sector.

Key Responsibilities & Duties

  • Provide executive assistance to senior executives, including the SVP of Legal Affairs and General Counsel.
  • Manage complex calendars, travel logistics, and conference arrangements with attention to detail.
  • Organize and schedule meetings using various virtual platforms for seamless execution.
  • Liaise with VIPs, government bodies, and external collaborators to foster productive relationships.
  • Process invoices, reconcile expenses, and maintain accurate financial records.
  • Coordinate corporate events and leadership meetings to ensure successful outcomes.
  • Provide coverage for other executive assistants as needed to maintain operational continuity.
  • Ensure adherence to health and safety guidelines in all activities.
  • Handle additional duties as assigned by management to support organizational goals.

Job Requirements

  • Minimum of 7 years of experience providing executive support to senior leadership.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience in biotech or pharmaceutical industry is preferred but not required.
  • High School Diploma or GED required; degree in related fields preferred.
  • Excellent communication skills, both written and verbal, to interact effectively.
  • Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
