Job Description

Overview

  • Provide high-level administrative support to senior leadership in a hybrid work setting.
  • Manage complex schedules, coordinate meetings, and oversee communication logistics.
  • Draft, edit, and proofread correspondence and reports with precision and clarity.
  • Coordinate travel arrangements and ensure seamless itineraries for executive staff.
  • Assist in project management using tools such as Asana and Trello.
  • Support budgeting and expense tracking to ensure financial accuracy.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Contribute to organizational priorities and strategic initiatives effectively.

Key Responsibilities & Duties

  • Manage and coordinate executive calendars, scheduling, and meeting logistics.
  • Organize meetings, prepare agendas, and ensure timely follow-ups.
  • Draft, proofread, and format documents with attention to detail.
  • Track and update project progress using management tools like Asana.
  • Coordinate vendor communications, contracts, and invoice processing.
  • Assist with budgeting, expense reconciliation, and financial reporting.
  • Support onboarding processes and administrative systems as needed.
  • Facilitate communication and collaboration across departments effectively.

Job Requirements

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Minimum of 5 years of executive-level administrative support experience.
  • Proficiency in project management tools such as Asana or Trello.
  • Exceptional organizational skills and ability to manage multiple priorities.
  • Strong writing, editing, and proofreading capabilities.
  • Experience with budgeting and expense management processes.
  • Professional judgment and discretion in handling confidential information.
  • Interest in public policy, communications, or nonprofit work preferred.
