Job Description

Overview

  • Provide comprehensive administrative support to senior executives in a dynamic environment, ensuring seamless operations and effective communication.
  • Manage complex schedules and prioritize tasks to optimize executive time and productivity.
  • Coordinate logistics for meetings and events, including virtual setups and material preparation.
  • Act as a liaison between executives and stakeholders, handling communications with professionalism.
  • Organize domestic and international travel arrangements, ensuring smooth itineraries and accommodations.
  • Prepare and reconcile expense reports accurately and promptly.
  • Maintain organized records and documentation for efficient retrieval and reference.
  • Support operational needs, including supply management and administrative tasks.

Key Responsibilities & Duties

  • Provide dedicated support to multiple executives, managing competing priorities effectively.
  • Coordinate meeting logistics, including reservations, virtual setups, and follow-ups.
  • Screen and manage communications, escalating issues as necessary.
  • Prepare correspondence, presentations, and documents with attention to detail.
  • Track and process invoices, ensuring timely vendor payments.
  • Act as a professional representative to visitors and external partners.
  • Assist with day-to-day office management and operational tasks.
  • Perform other duties as assigned to support executive operations.

Job Requirements

  • Bachelor’s degree or equivalent experience required.
  • Minimum of 3 years of experience supporting senior executives; 5 years preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, for reporting and organization.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle confidential information with discretion.
  • Experience in media, entertainment, or corporate environments is a plus.
  • Legal right to work in the U.S. required.
