Patient Service Representative Overview

  • The Patient Service Representative plays a vital role in ensuring smooth clinic operations and exceptional customer service.
  • Responsible for welcoming patients, verifying insurance coverage, and managing enrollment documentation accurately.
  • Supports scheduling of follow-up appointments and consultations, ensuring timely and efficient patient care.
  • Creates a welcoming atmosphere in the waiting room, enhancing patient experience.
  • Works collaboratively with healthcare providers to facilitate seamless clinic operations.
  • Delivers outstanding customer service to patients and internal/external customers consistently.
  • Handles patient inquiries, registration processes, and insurance verification with professionalism and accuracy.
  • Ensures compliance with clinic policies and procedures while maintaining a clean and organized reception area.
  • Participates in daily huddles and contributes to team discussions for operational improvements.

Patient Service Representative Key Responsibilities & Duties

  • Perform professional scheduling of patient appointments and follow-ups efficiently.
  • Greet and register patients upon arrival, ensuring accurate demographic checks.
  • Verify insurance coverage, including pre-authorizations, and assist with billing forms.
  • Conduct reminder calls and outreach to reschedule missed appointments.
  • Document patient information, including PCP assignments and insurance eligibility.
  • Distribute metro cards to patients and reconcile issued cards daily.
  • Maintain a clean and organized reception area, ensuring a positive patient experience.
  • Handle co-payments and sliding scale fees, reconciling them accurately.
  • Provide transportation assistance and escalate unresolved issues to the Clinic Manager.

Patient Service Representative Job Requirements

  • High School Diploma or GED required; additional certifications in healthcare administration are a plus.
  • Minimum of 2 years of experience in medical reception or a related field.
  • Proficiency in E-Clinical Works or similar healthcare software preferred.
  • Familiarity with standard medical field concepts, practices, and procedures.
  • Spanish-speaking ability is highly preferred for effective communication.
  • Availability for evening and weekend shifts as required.
  • Strong organizational skills and attention to detail in documentation and scheduling.
  • Ability to commute to multiple clinic locations as needed.
  • Excellent customer service and problem-solving skills to enhance patient satisfaction.
