Billing Specialist Overview

  • The Billing Specialist will manage billing processes for multiple partners, ensuring compliance with client guidelines and organizational standards.
  • This hybrid role offers flexibility with one day in-office and remote work options.
  • Collaborate with partners and assistants to prepare accurate invoices and resolve billing issues.
  • Handle complex billing scenarios, including split-party/multi-payor and task code billing.
  • Maintain documentation of billing procedures, deadlines, and partner preferences.
  • Support e-billing processes and ensure timely resolution of related issues.
  • Provide backup assistance to team members and support special projects as needed.
  • Collaborate with collections staff to address accounts receivable and minimize outstanding balances.
  • Contribute to a dynamic team environment within a leading law firm.

Billing Specialist Key Responsibilities & Duties

  • Manage monthly billing processes for 10+ partners, ensuring accuracy and timeliness.
  • Review pre-bills for compliance with rates, discounts, and formatting standards.
  • Prepare invoices and communicate directly with partners and assistants.
  • Execute complex billing tasks, including split-party and multi-payor invoicing.
  • Monitor work-in-progress (WIP) to ensure timely billing and address problem inventory.
  • Respond to inquiries regarding billing and provide accurate accrual information.
  • Support e-billing processes and resolve any related issues promptly.
  • Assist with special projects and provide backup for team members as needed.
  • Collaborate with collections staff to minimize outstanding balances and address cash issues.

Billing Specialist Job Requirements

  • Bachelor’s degree preferred, with 3-4 years of billing experience in a law firm.
  • Proficiency in Aderant or 3E systems and strong MS Excel skills.
  • Experience with e-billing processes and LEDES file editing.
  • Ability to manage complex billing scenarios and ensure compliance with client guidelines.
  • Strong analytical and problem-solving skills in high-pressure environments.
  • Excellent communication skills and ability to build effective relationships.
  • Self-directed with a strong work ethic and ability to work independently.
  • Flexibility to work outside standard hours occasionally to meet deadlines.
