Executive Assistant Overview

  • The Executive Assistant will provide comprehensive administrative support to three executives in a professional office environment.
  • This is a contract position for a 7-month maternity leave coverage, requiring immediate availability.
  • The role involves managing calendars, coordinating meetings, and arranging travel for the executives.
  • Candidates must be comfortable preparing simple meals and snacks for the executives as part of their daily routine.
  • The position requires strong organizational skills to handle frequently changing schedules and priorities.
  • Interaction with senior executives and external contacts will necessitate clear and confident communication skills.
  • Proficiency in tools such as Zoom, Microsoft Teams, and Microsoft Office Suite is essential for success in this role.
  • The work schedule is Monday through Friday, and the position is fully on-site.

Executive Assistant Key Responsibilities & Duties

  • Manage and maintain calendars for three executives, ensuring seamless scheduling and coordination.
  • Arrange travel plans, including flights, accommodations, and transportation, for the executives.
  • Handle high volumes of incoming and outgoing calls professionally and efficiently.
  • Prepare simple lunches, snacks, and beverages for the executives as needed.
  • Maintain strong organizational practices to adapt to dynamic schedules and priorities.
  • Communicate effectively with senior executives and external stakeholders to ensure smooth operations.
  • Utilize Zoom, Microsoft Teams, and Microsoft Office Suite for meetings, documentation, and communication.
  • Ensure adherence to professional standards and modest dress code in the workplace.

Executive Assistant Job Requirements

  • Associate of Arts (AA) degree or equivalent educational background.
  • Minimum of 5 years of experience in executive assistance or similar roles; 6 years preferred.
  • Proficiency in Zoom, Microsoft Teams, and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills to manage multiple schedules and priorities effectively.
  • Excellent written and verbal communication skills for professional interactions.
  • Ability to prepare simple meals and snacks as part of daily responsibilities.
  • Comfortable working in a small office environment with a modest dress code.
  • Immediate availability to start and commit to a 7-month contract term.
