Job Description

Executive Assistant Overview

  • The Executive Assistant provides high-level administrative support to the Chief of Staff, ensuring efficient operations within the President’s Office.
  • Coordinate daily administrative tasks, acting as a liaison between executives, employees, students, and external stakeholders.
  • Manage complex scheduling, event coordination, and communications to support institutional priorities and initiatives.
  • Prepare and edit executive communications, reports, and presentations with a focus on accuracy and professionalism.
  • Handle confidential information with discretion, ensuring compliance with records retention requirements.
  • Support special projects and initiatives through planning, tracking deliverables, and coordinating stakeholders.
  • Develop and maintain administrative systems to enhance efficiency and communication within the executive office.
  • Coordinate travel arrangements and logistics for the executive, ensuring smooth execution of commitments.
  • Establish effective relationships with internal and external stakeholders, fostering collaboration and communication.

Executive Assistant Key Responsibilities & Duties

  • Provide executive-level administrative support, managing schedules, communications, and confidential information.
  • Coordinate meetings and events, including logistics, agendas, and follow-up activities.

Executive Assistant Job Requirements

  • Associate degree in business administration, public administration, or a related field.
  • Minimum of five years of progressively responsible administrative experience, including executive-level support.
  • Preferred bachelor’s degree in business administration, communications, or higher education administration.
  • Experience in higher education or supporting senior-level executives is advantageous.
  • Strong organizational skills with proficiency in managing schedules, events, and communications.
  • Ability to handle confidential information with discretion and sound judgment.
  • Proficiency in office software and systems for records management and communication.
  • Excellent interpersonal skills to establish effective relationships with diverse stakeholders.
