Job Description

Executive Assistant Overview

  • The Executive Assistant will provide administrative support to the Client Advisory team, ensuring seamless operations and communication.
  • This hybrid role offers a dynamic schedule with flexibility for meetings and events.
  • Contribute to client service excellence by managing communications and supporting financial transactions.
  • Collaborate with team members to prepare presentations and maintain Salesforce records.
  • Coordinate meetings, luncheons, and travel arrangements for the Client Advisory team.
  • Assist in compliance and audit-related requests, ensuring timely and accurate responses.
  • Maintain effective relationships with internal colleagues and external contacts.
  • Support bookkeeping and accounting tasks, ensuring accurate transaction processing.
  • Enhance operational efficiency by proactively managing administrative responsibilities.

Executive Assistant Key Responsibilities & Duties

  • Manage client cash transactions, bill payments, and inter-departmental approvals using internal banking systems.
  • Screen and route incoming communications, ensuring timely follow-up and professional correspondence.
  • Compose and proofread written communications using financial vocabulary and firm knowledge.
  • Organize meetings, luncheons, and calendar scheduling for the Client Advisory team.
  • Maintain Salesforce records, manage mail merges, and generate reports for client advisory activities.
  • Process expense reports and coordinate travel arrangements for team members.
  • Assist in client communication, documentation, and preparation of meeting materials.
  • Support account administration tasks, including account openings and asset transfers.
  • Collaborate with CPAs for tax-related information and ensure timely tax payments.

Executive Assistant Job Requirements

  • Bachelor of Arts (BA) degree is required for this position.
  • Minimum of 2 years of experience in administrative support roles.
  • Proficiency in Salesforce and Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • Strong organizational and communication skills, both written and verbal.
  • Experience in financial transactions and bookkeeping is preferred.
  • Ability to manage multiple tasks and prioritize effectively in a hybrid work environment.
  • Knowledge of compliance and audit processes is advantageous.
  • Flexibility to adapt to varying schedules and support team needs as required.
