Patient Service Representative Overview

  • The Patient Service Representative is a vital member of the healthcare team, ensuring smooth clinic operations and exceptional patient experiences.
  • Greet and assist patients entering the clinic, ensuring accurate documentation and insurance verification.
  • Facilitate scheduling of follow-up appointments and consultations, supporting providers and patients effectively.
  • Deliver outstanding customer service to internal and external stakeholders, fostering a welcoming clinic environment.
  • Perform professional and efficient scheduling of patient appointments, ensuring timely and accurate processes.
  • Assist with patient registration, including kiosk usage and demographic checks during check-in.
  • Support uninsured patients with Sliding Fee Scale applications, verifying and following up on necessary documents.
  • Maintain a clean and organized reception and waiting area, ensuring a positive patient experience.
  • Participate in daily huddles and contribute to the clinic’s operational efficiency.

Patient Service Representative Key Responsibilities & Duties

  • Greet patients upon arrival, register and check them in, ensuring accuracy in documentation.
  • Verify insurance coverage and pre-authorization for scheduled patients, ensuring compliance with clinic policies.
  • Answer phone calls, direct callers appropriately, and take messages as needed.
  • Assist patients with registration processes, including kiosk usage and demographic updates.
  • Prepare medical insurance billing forms and reconcile visit co-payments and sliding scale fees.
  • Conduct reminder calls and outreach to patients for rescheduling appointments.
  • Maintain a clean and organized reception area, ensuring a welcoming environment for patients.
  • Collaborate with clinic staff to ensure smooth operations and address patient concerns effectively.
  • Support transportation arrangements for patients and distribute metro cards during visits.

Patient Service Representative Job Requirements

  • High School Diploma or GED required; familiarity with medical field concepts and practices preferred.
  • 1-2 years of experience in a similar role; E-Clinical Works experience is a plus.
  • Proficiency in scheduling, registration, and insurance verification processes within a healthcare setting.
  • Ability to work evening and weekend shifts as needed, ensuring clinic coverage.
  • Strong organizational and multitasking skills, with attention to detail and accuracy.
  • Excellent communication and customer service skills, fostering positive interactions with patients and staff.
  • Spanish-speaking ability preferred, enhancing communication with diverse patient populations.
  • Willingness to commute to multiple clinic locations as required.
