Project Administrator Overview
- The Project Administrator supports development and construction teams managing multifamily, mixed-use, corporate office, and retail projects.
- Maintain project documentation, including contracts, schedules, budgets, and permits, ensuring accuracy and organization.
- Coordinate meetings with architects, engineers, contractors, and stakeholders, preparing agendas and tracking action items.
- Assist in tracking budgets, change orders, invoices, and overall project costs to ensure financial compliance.
- Support the preparation and distribution of bid packages, contracts, and purchase orders.
- Track project schedules, communicate updates, and identify potential delays to keep projects on track.
- Facilitate permitting, inspections, and regulatory requirements to ensure project compliance.
- Provide assistance in due diligence and preconstruction activities for upcoming developments.
- Work on multiple projects simultaneously, maintaining strong attention to detail and organization.
Project Administrator Key Responsibilities & Duties
- Provide administrative and coordination support throughout development and construction project lifecycles.
- Maintain accurate project files, contracts, plans, and schedules.
- Assist with tracking budgets, commitments, invoices, and project costs.
- Coordinate meetings and prepare agendas, minutes, and follow-up action items.
- Prepare and distribute bid packages, contracts, and purchase orders.
- Track schedules and communicate updates or delays to stakeholders.
- Support processing RFIs, submittals, change orders, and pay applications.
- Assist with project reporting, including budget updates and status reports.
- Coordinate permitting, inspections, and closeout documentation.
Project Administrator Job Requirements
- Bachelor's degree in Construction Management, Real Estate, Business, or related field preferred.
- Minimum of 5 years of experience in construction or real estate development.
- Proficiency in Microsoft Office, particularly Excel and Outlook.
- Experience with construction documentation, project schedules, budgets, and contracts preferred.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Experience with construction management or project management software is a plus.
- Ability to work effectively with contractors, architects, engineers, and consultants.
- Strong attention to detail and ability to maintain accurate project records.
