Job Description

Executive Assistant Overview

  • The Executive Assistant will provide direct support to the CEO, ensuring seamless operations and effective communication.
  • This hybrid role offers a dynamic environment with opportunities to engage with investors, vendors, and internal teams.
  • Coordinate schedules, meetings, and travel arrangements for the CEO and Head of Investor Relations.
  • Act as a liaison between the CEO and various departments, managing confidential and time-sensitive materials.
  • Contribute to the planning and execution of company events, fostering a collaborative team culture.
  • Support special projects and administrative tasks, ensuring organizational efficiency and attention to detail.
  • Collaborate with executive assistants and operations staff to maintain smooth office operations.
  • Enhance the firm's professional image through polished communication and proactive support.

Executive Assistant Key Responsibilities & Duties

  • Manage the CEO’s calendar, scheduling internal and external meetings with prioritization and timeliness.
  • Plan and coordinate business travel arrangements, including detailed itineraries and logistics.
  • Prepare and submit expense reports for the CEO and Head of Investor Relations.
  • Screen calls and messages, ensuring excellent telephone manners and prioritization.
  • Organize and coordinate company events, collaborating with internal and external teams.
  • Assist with special projects, including maintaining licenses and memberships for the CEO.
  • Collaborate with other executive assistants and operations staff on office responsibilities.
  • Provide administrative support to ensure smooth operations and effective communication.

Executive Assistant Job Requirements

  • Bachelor’s degree preferred; minimum of two years of college required.
  • 5+ years of corporate experience in a similar position; maximum of 10 years.
  • Strong organizational and time management skills with the ability to multitask.
  • Proficiency in Microsoft Office; experience with Concur or Salesforce is a plus.
  • Excellent communication skills via email and phone; high attention to detail.
  • Ability to maintain discretion and confidentiality in all tasks.
  • Team-oriented with strong collaboration skills; proactive and initiative-driven.
