Job Description

Administrative Assistant Overview

  • The Administrative Assistant will support daily operations in a fast-paced finance firm.
  • Provide administrative support, including scheduling, calendar management, and travel arrangements.
  • Assist with light office management tasks to ensure smooth operations.
  • Collaborate with senior executives for coordination and logistical support.
  • Maintain office supplies, snacks, and overall organization.
  • Contribute to vendor coordination and basic office upkeep.
  • Opportunity to grow within the firm and take on more responsibilities.
  • Work onsite Monday through Friday, 8:00 AM to 5:00 PM.

Administrative Assistant Key Responsibilities & Duties

  • Coordinate and manage team schedules, calendars, and travel arrangements.
  • Support office operations, including supply management and organization.
  • Assist with coordination tasks for visiting senior executives.
  • Handle desk bookings and office coordination tools effectively.
  • Organize team meals, weekly breakfasts, and lunches.
  • Ensure vendor coordination and basic office upkeep.
  • Provide backup support for executive assistants as needed.
  • Collaborate with team members to ensure smooth daily operations.

Administrative Assistant Job Requirements

  • Bachelor of Arts (BA) degree required.
  • 1–3 years of experience in administrative, hospitality, or similar roles.
  • Highly organized, proactive, and dependable with strong communication skills.
  • Familiarity with NYC, including restaurants and general navigation, preferred.
  • Positive attitude and willingness to take initiative and learn.
  • Ability to manage multiple tasks and prioritize effectively.
  • Flexibility to adapt to a dynamic and fast-paced environment.
