Job Description

Project Administration Overview

  • The Project Administration role supports construction projects, acting as a liaison between operations, corporate finance, and external parties.
  • Engage in financial reporting, compliance, and processing responsibilities for projects ranging from $20 million to $1 billion.
  • Serve as the primary point of contact for craft workforce communications and responsibilities.
  • Collaborate with payroll teams on adjustments, pay increases, terminations, and per diem packages.
  • Assist with field new hires, including dispatching, paperwork, drug testing, and safety training.
  • Review and manage subcontractor certified payroll submissions, resolving delinquent or missing items.
  • Process purchase orders and project invoices, ensuring timely payments and accurate coding.
  • Support monthly pay applications, including invoicing, subcontractor payments, and lien waiver tracking.
  • Contribute to maintaining a high-performance culture in a fast-paced environment.

Project Administration Key Responsibilities & Duties

  • Assist with trade payroll processing, including timecard collection and coding.
  • Coordinate field new hire processes, including paperwork, testing, and training.
  • Manage subcontractor certified payroll submissions and resolve issues directly with subcontractors.
  • Process purchase orders and project invoices, ensuring accuracy and timeliness.
  • Assist with vendor setup and maintain accurate documentation control.
  • Support monthly pay applications, including invoicing and lien waiver tracking.
  • Maintain and order office supplies, ensuring smooth office operations.
  • Track insurance certificates and support equipment management and inventory control.
  • Facilitate communication and relationship management with suppliers, subcontractors, and clients.

Project Administration Job Requirements

  • High School Diploma or GED required; additional certifications are advantageous.
  • 1-3 years of administration or accounting experience, preferably in construction projects.
  • Proficiency in Microsoft Office, especially Excel and Word; experience with Textura, SAP, or Coupa preferred.
  • Demonstrated ability in billing, document control, and purchasing processes.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with large-scale construction projects preferred but not required.
  • Physical ability to lift and move objects up to 25 pounds occasionally.
  • Flexibility to work extended hours during critical project phases or emergencies.
