Receptionist Overview

  • The Receptionist will serve as the primary point of contact for visitors and callers, ensuring a professional and welcoming experience.

  • Work closely with the Operations team to maintain office functionality and support various administrative tasks.

Receptionist Key Responsibilities & Duties

  • Greet visitors and callers warmly, ensuring a professional and welcoming first impression.
  • Answer and manage the main phone line, directing calls appropriately and taking detailed messages.
  • Schedule and manage conference room bookings using Microsoft Outlook.
  • Coordinate catering arrangements for meetings and office events.
  • Maintain conference rooms and pantry areas, ensuring cleanliness and organization.
  • Assist with facilities management tasks, including inventory control and liaising with building management.
  • Support HR with scheduling, onboarding materials, and special projects as needed.
  • Organize office activities such as Healthy Snacks, Birthdays, and Pizza Fridays to foster a positive work environment.
  • Serve as administrator for third-party service provider oversight committees.

Receptionist Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on communication or related fields preferred.
  • Minimum of 1 year of experience in a receptionist or front-of-house role; 2 years preferred.
  • Proficiency in Microsoft Outlook and general office technology essential.
  • Strong organizational skills and attention to detail to manage multiple priorities effectively.
  • Warm, professional, and polished communication skills with a genuine service orientation.
