Executive Assistant Overview

  • The Executive Assistant will provide comprehensive support to two Partners, ensuring efficient operations and seamless coordination within a dynamic professional environment.
  • This role includes reception duties, greeting guests, and maintaining a welcoming office atmosphere.
  • Contribute to office management tasks, including inventory control, ordering supplies, and pantry stocking.
  • Coordinate travel arrangements, liaising with agents, and preparing detailed itineraries.
  • Manage complex calendars across time zones, scheduling meetings, and conference calls.
  • Support expense reporting and budgeting processes, ensuring accuracy and timely submissions.
  • Assist with event planning, including board dinners, holiday celebrations, and offsite meetings.
  • Engage with vendors, building management, and IT support to address office needs effectively.

Executive Assistant Key Responsibilities & Duties

  • Provide administrative support to two Partners, managing calendars, travel arrangements, and correspondence.
  • Greet guests at reception, ensuring a professional and welcoming environment.
  • Coordinate office supplies, pantry inventory, and team lunch orders twice weekly.
  • Prepare agendas, materials, and presentations for meetings and events.
  • Handle expense reporting, allocation, and budgeting tasks efficiently.
  • Assist with event planning, including board dinners, holiday parties, and offsite meetings.
  • Liaise with vendors, building management, and IT support for office operations.
  • Maintain organized paper and electronic files, ensuring accessibility and accuracy.
  • Support special projects, including research and data compilation as needed.

Executive Assistant Job Requirements

  • Bachelor of Arts degree required, with a focus on administrative or business studies preferred.
  • Minimum of 3 years of experience as an Executive Assistant; 5 years preferred.
  • Proficiency in calendar management, travel coordination, and expense reporting.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Experience in event planning and vendor coordination is highly desirable.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite and familiarity with expense management tools.
