Summary:
Manhattan based Investment Bank is seeking an Events Coordinator for a six-month contract. The Events Coordinator will be responsible for planning, organizing, and executing a wide range of events that support the bank's business and client relationship goals. This role requires excellent project management skills, attention to detail, and the ability to work effectively with both internal teams and external vendors.
Responsibilities:
- Collaborate with stakeholders to understand event objectives, target audience, and key messaging.
- Develop comprehensive event plans, including timelines, budgets, and logistics.
- Select and book venues, ensuring they meet the event requirements.
- Coordinate catering, transportation, and accommodation for attendees.
- Source and manage external vendors, such as audio-visual providers, decorators, and entertainment.
- Oversee event setup, including registration, signage, seating arrangements, and technology.
- Manage on-site logistics during the event, ensuring everything runs smoothly.
- Troubleshoot any issues that arise and adapt plans as needed.
- Ensure that events are executed within budget and meet quality standards.
- Serve as the main point of contact for event stakeholders, including internal teams, clients, and vendors.
- Provide regular updates on event progress and address any concerns or changes in a timely manner.
- Maintain strong relationships with key clients, ensuring their needs are met and expectations exceeded.
- Collect feedback from attendees and stakeholders to assess event success and areas for improvement.
- Compile event reports, including budget performance and attendee satisfaction.
- Debrief with the team to discuss lessons learned and apply them to future events.
- Coordinate with the marketing team to develop promotional materials and communications for the event.
- Manage event invitations, RSVPs, and attendee communications.
- Ensure that the event’s branding and messaging align with the bank’s overall strategy.
- Ensure all events comply with the bank’s policies, industry regulations, and legal requirements.
- Identify potential risks associated with events and develop contingency plans.
Qualifications:
- Bachelor’s degree in Event Management, Marketing, Business, or a related field.
- 3-6 years of experience in event planning, preferably in a financial services or corporate environment.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and handle multiple events simultaneously.
- Proficiency in event management software and tools.
- Budget management experience.
- Attention to detail and problem-solving skills.
