Job Description

The Reception and Event Coordinator plays a crucial role in creating a welcoming environment for guests and clients while managing the logistics of events. This position combines the responsibilities of a front desk receptionist with those of an event coordinator, requiring the ability to juggle multiple tasks, manage time efficiently, and provide excellent customer service.

Key Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage the front desk, including answering phones, directing calls, and responding to inquiries.
  • Maintain a tidy and presentable reception area.
  • Plan and coordinate events, including corporate meetings, conferences, weddings, and other special occasions.
  • Manage event timelines, schedules, and budgets to ensure everything runs smoothly.
  • Coordinate with vendors, caterers, and other service providers to arrange for event services.
  • Conduct post-event evaluations to gather feedback and improve future events.
  • Provide excellent customer service to guests and clients, ensuring their needs are met and their experience is positive.

Qualifications:

  • High school diploma or equivalent; additional education or certification in event planning or hospitality management is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with event management software.
  • Ability to work well under pressure and handle last-minute changes.
  • Attention to detail and a commitment to quality service.
