Job Description
Duties:
- Partner with a skilled team of administrative professionals to deliver top-tier support to executives, including managing intricate calendaring needs, orchestrating meetings, and coordinating travel arrangements.
- Develop and manage comprehensive travel plans for both domestic and international journeys, ensuring strict adherence to Covid travel protocols, visa and customs requirements, and other essential travel documentation.
- Prepare high-impact documents, presentations, reports, and other materials in alignment with executive directives and organizational goals.
- Act as a professional gatekeeper, managing phone communications, handling messages, and addressing inquiries with discretion and efficiency.
- Maintain and update the internal business contact database, ensuring data integrity and accessibility.
- Organize and oversee logistics for on-site, off-site, and virtual meetings, ensuring flawless execution and optimal coordination.
Qualifications:
- At least 3 years of proven administrative experience within finance or professional services, demonstrating expertise in a similar environment.
- Bachelor’s degree strongly preferred, with relevant academic background considered an advantage.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with additional productivity tools.
- Outstanding verbal and written communication skills, with a proven ability to convey information clearly and professionally.
- Excellent multitasking abilities, with a demonstrated knack for managing multiple priorities and maintaining a high level of accuracy and efficiency.
