    Midtown-based financial firm seeks Executive Assistant, ideally someone with 5+ years’ experience in a similar role, to join them on a temporary basis. There’s potential for permanent hiring down the line.

Job Description

Duties

  • Coordinate and manage several busy schedules, including meetings, travel arrangements, appointments, etc. across multiple time zones 
  • Draft, proofread, and edit correspondence, emails, and phone calls with professionalism 
  • Organize and prepare meetings, including set-up and break-down, presentation prep, tech set-up, taking minutes, etc. 
  • Process and track expense reports 
  • Manage documents and files (both digital and physical) 
  • Assist with any ad hoc projects as needed 

Requirements

  • 5+ years of experience supporting C-level executives 
  • Proficient in Microsoft Office Suite, as well as familiarity with virtual communication tools and platforms 
  • Excellent interpersonal and communication skills (both written and verbal) 
  • Strong organizational skills with good attention to detail and accuracy 
  • Ability to multitask while prioritizing projects efficiently in a fast-paced environment 
  • Willingness to work flexible hours to accommodate different time zone
