Job Description

Responsibilities

  • Manage and maintain calendars using Microsoft Outlook to ensure efficient scheduling and time management.
  • Professionally handle all incoming phone calls, take accurate messages, or provide direct assistance when needed.
  • Coordinate internal and external meetings, including reserving rooms, setting up necessary equipment, and preparing meeting materials (such as presentations, agendas, and other required documents).
  • Provide general administrative support, including the creation, maintenance, and editing of documents, spreadsheets, and presentations.
  • Process expense reports through Concur, ensuring adherence to the Travel & Expense Policy.
  • Distribute daily mail to the appropriate team members in a timely manner.
  • Organize travel arrangements for executives, including booking flights, hotels, car rentals, and car services through the Amex travel desk.
  • Track and monitor team members' PTO and sick days.
  • Assist with ad-hoc tasks and special assignments as needed.

Qualifications

  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Word, PowerPoint, and Excel.
  • Excellent written and verbal communication skills, with strong research capabilities.
  • Effective time management and organizational skills, with the ability to prioritize tasks.
  • Highly resourceful, dependable, and efficient with a focus on accuracy.
  • Proven problem-solving skills and the ability to work independently.
  • Ability to handle confidential information with discretion and professionalism.
  • Comfortable working in a collaborative team environment.
  • At least 3 years of experience in a senior administrative role.
  • Bachelor's degree preferred.
