Job Description
Responsibilities
- Manage and maintain calendars using Microsoft Outlook to ensure efficient scheduling and time management.
- Professionally handle all incoming phone calls, take accurate messages, or provide direct assistance when needed.
- Coordinate internal and external meetings, including reserving rooms, setting up necessary equipment, and preparing meeting materials (such as presentations, agendas, and other required documents).
- Provide general administrative support, including the creation, maintenance, and editing of documents, spreadsheets, and presentations.
- Process expense reports through Concur, ensuring adherence to the Travel & Expense Policy.
- Distribute daily mail to the appropriate team members in a timely manner.
- Organize travel arrangements for executives, including booking flights, hotels, car rentals, and car services through the Amex travel desk.
- Track and monitor team members' PTO and sick days.
- Assist with ad-hoc tasks and special assignments as needed.
Qualifications
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Word, PowerPoint, and Excel.
- Excellent written and verbal communication skills, with strong research capabilities.
- Effective time management and organizational skills, with the ability to prioritize tasks.
- Highly resourceful, dependable, and efficient with a focus on accuracy.
- Proven problem-solving skills and the ability to work independently.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable working in a collaborative team environment.
- At least 3 years of experience in a senior administrative role.
- Bachelor's degree preferred.
