Job Description
Title: Office Assistant
Responsibilities:
- Welcome clients at the front desk and manage incoming telephone communications.
- Manage the receipt and distribution of all incoming mail and packages.
- Oversee the dispatch of outgoing mail and packages using various carriers and handle courier arrangements.
- Maintain and manage the stock of office, janitorial, and kitchen supplies.
- Undertake basic maintenance tasks for office machinery and coordinate with service providers as necessary.
- Prepare and organize conference rooms for meetings and events.
- Perform general office maintenance tasks and coordinate with the property manager when required.
- Assist in the onboarding process for new hires, including setting up orientation sessions and equipment.
- Manage ID badge and access card issuance.
- Support document preparation tasks such as copying, binding, and ensuring quality control of materials.
- Facilitate office "hoteling" services for employees, including the secure storage of personal files and supplies.
- Carry out additional duties as assigned to support office functions.
Qualifications:
- Minimum of a High School diploma or equivalent.
- At least one year of related experience in office administration or facility management.
- Proficient in Microsoft Office applications.
- Strong communication skills, capable of effective interaction with diverse internal and external groups.
- Ability to multitask and prioritize in a dynamic, deadline-driven environment.
- Detail-oriented with a capability to work independently and within a team.
