Job Description
Key Responsibilities:
- Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Assist with financial tasks, including managing expense reports, processing invoices, and maintaining financial records using QuickBooks.
- Support the CEO in managing customer relationships and sales processes using HubSpot.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research and compile data to support decision-making processes.
- Handle confidential information with discretion and professionalism.
- Coordinate and manage special projects as assigned by the CEO.
- Liaise with internal and external stakeholders on behalf of the CEO.
- Assist with event planning and coordination for company meetings and events.
- Perform general office duties, such as ordering supplies and managing office equipment.
Qualifications:
- Bachelor’s degree in Business Administration, Finance, or a related field preferred.
- Minimum of 2 years of experience in an administrative or executive assistant role.
- Proficiency in QuickBooks and HubSpot is highly desirable.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to work independently and handle multiple tasks simultaneously.
- Strong problem-solving skills and a proactive approach.
- Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
- Ability to maintain confidentiality and handle sensitive information.
