Job Description

Key Responsibilities:

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist with financial tasks, including managing expense reports, processing invoices, and maintaining financial records using QuickBooks.
  • Support the CEO in managing customer relationships and sales processes using HubSpot.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research and compile data to support decision-making processes.
  • Handle confidential information with discretion and professionalism.
  • Coordinate and manage special projects as assigned by the CEO.
  • Liaise with internal and external stakeholders on behalf of the CEO.
  • Assist with event planning and coordination for company meetings and events.
  • Perform general office duties, such as ordering supplies and managing office equipment.

Qualifications:

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • Minimum of 2 years of experience in an administrative or executive assistant role.
  • Proficiency in QuickBooks and HubSpot is highly desirable.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong problem-solving skills and a proactive approach.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Ability to maintain confidentiality and handle sensitive information.
