Job Description

Top law firm in NYC is seeking a Legal Secretary with 3-12 years of experience. 4 days on site, 1 day remote.

Key Responsibilities:

  • Prepare, format, and proofread legal documents such as contracts, briefs, pleadings, and correspondence.
  • Manage and maintain attorneys’ calendars, scheduling meetings, court dates, and deadlines.
  • Organize and maintain physical and electronic files, ensuring proper documentation and recordkeeping.
  • Communicate with clients, witnesses, and experts to schedule appointments, request documents, and relay case-related information.
  • Perform research tasks as requested by attorneys, utilizing legal databases and other resources.
  • Assist in the preparation of case materials for trials, hearings, and meetings.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Coordinate and manage correspondence with courts, opposing counsel, and other parties involved in legal matters.
  • Answer phones, take messages, and handle inquiries from clients, opposing counsel, and other parties.
  • Process billing and timekeeping entries for attorneys as needed.
  • Perform additional administrative duties as required, including filing, copying, faxing, and scanning documents.

Qualifications:

  • High school diploma or equivalent (required); Associate's or Bachelor's degree in Paralegal Studies or related field (preferred).
  • Proven experience as a legal secretary or administrative assistant in a law firm or legal department
  • Strong knowledge of legal terminology, procedures, and documentation.
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy in preparing legal documents.
  • Ability to work independently as well as part of a team.
  • Discretion and the ability to handle confidential information with integrity.
