    New York based sustainability-focused private equity firm is looking for an Office Manager, who will be responsible for day-to-day operations of the office in addition to partnering with members of our senior team to provide organizational and logistics.

Job Summary:

We are seeking a highly organized and proactive Office Manager/Executive Assistant to oversee office operations while providing high-level administrative support to the executive team. This role is ideal for a resourceful and detail-oriented professional who can manage daily office functions, streamline workflows, and enhance executive productivity.

Key Responsibilities:

Executive Support:

  • Provide comprehensive administrative support to [CEO/Executives], including calendar management, travel arrangements, and meeting coordination.
  • Prepare reports, presentations, and correspondence on behalf of executives.
  • Handle confidential and sensitive information with discretion.
  • Act as a liaison between executives and internal/external stakeholders.

Office Management:

  • Oversee daily office operations, ensuring a well-organized and efficient work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate office maintenance, IT support, and facility needs.
  • Plan and execute company events, team meetings, and office activities.

HR & Administrative Support:

  • Assist with employee onboarding, record-keeping, and HR documentation.
  • Maintain office policies and procedures, ensuring compliance with company guidelines.
  • Support recruitment efforts by scheduling interviews and coordinating hiring processes.

Project & Process Management:

  • Assist in special projects and company initiatives as needed.
  • Improve operational efficiency by implementing better administrative systems and workflows.
  • Support financial processes such as budget tracking, invoice processing, and expense reporting.

Key Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Proven experience as an Office Manager, Executive Assistant, or in a similar role.
  • Strong organizational and time-management skills, with the ability to multitask.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and office management software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and exercise sound judgment in decision-making.
