Job Description

Title: Administrative Assistant (Tax)

Key Responsibilities

  • Prepare, organize, and maintain tax client documents and statements.
  • Ensure compliance with company regulations and policies.
  • Process and log outgoing mail and packages, arranging for courier services as needed.
  • Perform administrative duties, including drafting engagement letters, correspondence, and reports.
  • Act as a liaison between managers and clients regarding tax documents.
  • Manage the printing, organizing, and binding of client tax returns.
  • Ensure the secure handling and return of client original tax documents via mail or courier services.
  • Provide backup support to office services administration when necessary.

Qualifications

Education & Experience:

  • High school diploma or GED required; bachelor’s degree preferred.
  • 3+ years of administrative experience required, preferably in a professional services firm.

Skills & Abilities:

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with PeopleSoft Financials is a plus.
  • Strong attention to detail and organization, with the ability to multi-task in a deadline-driven environment.
  • Excellent written and verbal communication skills, including proper grammar, spelling, and punctuation.
  • Ability to handle highly confidential client information with professionalism and discretion.
  • Strong customer service skills, with a proactive approach to improving processes.
  • Team-oriented mindset with the flexibility to assist where needed.
