Job Description

Title: Document Imaging Specialist

Key Responsibilities

  • Sort, process, and prepare incoming mail, ensuring timely categorization and distribution.
  • Scan and index pension-related documents, using SharePoint to accurately capture and store information.
  • Maintain and update document records, verifying accuracy before release into workflow systems.
  • Handle priority mail, ensuring expedited processing and electronic documentation.
  • Generate and send response letters for returned identification documents.
  • Prepare monthly reports, including new pension member notifications for local unions.
  • Ensure compliance with imaging and data capture standards, maintaining an average scanning rate of 2,000 documents per shift.
  • Support administrative functions, including receptionist duties, mail room support, and assisting in special projects as needed.
  • Maintain document security and confidentiality, ensuring compliance with internal policies.
  • Provide customer service to internal teams and external stakeholders regarding document processing inquiries.

Qualifications

Education & Experience:

  • Previous experience in document imaging, data entry, or mail processing in a fast-paced environment preferred.
  • Experience using SharePoint or similar document management systems is a plus.

Skills & Abilities:

  • Strong attention to detail and accuracy in handling high volumes of documentation.
  • Ability to meet strict processing deadlines, handling sensitive data efficiently.
  • Strong organizational skills to categorize and manage document workflow.
  • Ability to work independently while supporting team-based goals.
  • Proficient in Microsoft Office Suite and general computer literacy.
  • Ability to lift up to 40 lbs. and work in an office setting with standard equipment.
