Job Description

Title: Special Assistant to CEO

Key Responsibilities:

Schedule & Calendar Management

  • Oversee the CEO’s daily and long-term calendar, identifying priorities and proactively managing scheduling conflicts
  • Coordinate logistics for meetings, conference calls, speaking engagements, and travel
  • Serve as liaison between the CEO and internal departments to ensure timely follow-up and preparation for all engagements

Administrative Support

  • Submit CEO expense reports and timesheets accurately and on time
  • Maintain confidentiality with sensitive internal and external matters
  • Draft executive correspondence and prepare briefing materials

Board Relations

  • Support board meeting planning including agenda coordination, distribution of materials, and logistical arrangements
  • Maintain board management software and contact records
  • Prepare board resolutions and ensure all documents are properly archived

Cross-Functional Collaboration

  • Support cross-departmental projects and strategic initiatives as assigned
  • Serve as a resource to senior staff and external stakeholders with timely, thoughtful communication
  • Assist in preparing reports, presentations, and meeting materials

Qualifications:

  • Bachelor’s degree preferred or equivalent work experience
  • 3–5+ years of relevant experience, including at least 1 year supporting executive leadership
  • Prior experience in a nonprofit, mission-driven, or community-focused organization preferred
  • Strong writing, communication, and problem-solving abilities
  • High level of discretion, professionalism, and adaptability
  • Proficiency in Microsoft Office Suite, Outlook, and video conferencing platforms (Zoom, Teams, etc.)
  • Ability to manage complex calendars and logistics independently
