Job Description
Title: Special Assistant to CEO
Key Responsibilities:
Schedule & Calendar Management
- Oversee the CEO’s daily and long-term calendar, identifying priorities and proactively managing scheduling conflicts
- Coordinate logistics for meetings, conference calls, speaking engagements, and travel
- Serve as liaison between the CEO and internal departments to ensure timely follow-up and preparation for all engagements
Administrative Support
- Submit CEO expense reports and timesheets accurately and on time
- Maintain confidentiality with sensitive internal and external matters
- Draft executive correspondence and prepare briefing materials
Board Relations
- Support board meeting planning including agenda coordination, distribution of materials, and logistical arrangements
- Maintain board management software and contact records
- Prepare board resolutions and ensure all documents are properly archived
Cross-Functional Collaboration
- Support cross-departmental projects and strategic initiatives as assigned
- Serve as a resource to senior staff and external stakeholders with timely, thoughtful communication
- Assist in preparing reports, presentations, and meeting materials
Qualifications:
- Bachelor’s degree preferred or equivalent work experience
- 3–5+ years of relevant experience, including at least 1 year supporting executive leadership
- Prior experience in a nonprofit, mission-driven, or community-focused organization preferred
- Strong writing, communication, and problem-solving abilities
- High level of discretion, professionalism, and adaptability
- Proficiency in Microsoft Office Suite, Outlook, and video conferencing platforms (Zoom, Teams, etc.)
- Ability to manage complex calendars and logistics independently
