Executive Assistant

Job Description
Our client in Woodbridge NJ is looking for an executive assistant to join their growing team. This is a FULLY ONSITE, contract to hire position:
Responsibilities:
- Take meeting minutes and track action items for follow-up.
- Maintain confidential records, contracts, and corporate documentation in compliance with company policies.
- Manage complex executive calendars, scheduling meetings, appointments, and travel arrangements.
- Assist with drafting internal communications and press releases related to corporate announcements.
- Organize company events, investor meetings, and internal leadership conferences.
- Act as a gatekeeper, screening and prioritizing emails, calls, and meeting requests.
- Ensure compliance with SEC regulations and corporate governance policies when handling sensitive documents.
- Coordinate executive travel logistics, including expense reporting and reimbursements.
- Serve as a key point of contact for external partners, shareholders, and regulatory agencies.
- Facilitate communication between executives, board members, shareholders, and internal teams.
- Prepare reports, presentations, and correspondence on behalf of executives.
- Support investor relations by coordinating earnings calls, annual meetings, and financial disclosures.
- Assist in the preparation and distribution of materials for board meetings, investor relations, and regulatory filings.
Qualifications & Requirements:
- Prior experience supporting C-suite executives or Board of Directors is highly desirable.
- Exceptional written and verbal communication skills with a professional demeanor.
- 5+ years of experience in executive administrative support, preferably within a publicly traded company or regulated industry (water, utilities, energy, etc.).
- Ability to handle confidential information with discretion.
- Associates degree in Business Administration, Communications, or a related field (preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and administrative tools.
- Strong understanding of financial reporting, regulatory compliance, and investor relations.
