Job Description

Our client in Woodbridge NJ is looking for an executive assistant to join their growing team. This is a FULLY ONSITE, contract to hire position:

Responsibilities:

  • Take meeting minutes and track action items for follow-up.
  • Maintain confidential records, contracts, and corporate documentation in compliance with company policies.
  • Manage complex executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Assist with drafting internal communications and press releases related to corporate announcements.
  • Organize company events, investor meetings, and internal leadership conferences.
  • Act as a gatekeeper, screening and prioritizing emails, calls, and meeting requests.
  • Ensure compliance with SEC regulations and corporate governance policies when handling sensitive documents.
  • Coordinate executive travel logistics, including expense reporting and reimbursements.
  • Serve as a key point of contact for external partners, shareholders, and regulatory agencies.
  • Facilitate communication between executives, board members, shareholders, and internal teams.
  • Prepare reports, presentations, and correspondence on behalf of executives.
  • Support investor relations by coordinating earnings calls, annual meetings, and financial disclosures.
  • Assist in the preparation and distribution of materials for board meetings, investor relations, and regulatory filings.

Qualifications & Requirements:

  • Prior experience supporting C-suite executives or Board of Directors is highly desirable.
  • Exceptional written and verbal communication skills with a professional demeanor.
  • 5+ years of experience in executive administrative support, preferably within a publicly traded company or regulated industry (water, utilities, energy, etc.).
  • Ability to handle confidential information with discretion.
  • Associates degree in Business Administration, Communications, or a related field (preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and administrative tools.
  • Strong understanding of financial reporting, regulatory compliance, and investor relations.
