Job Description
Title: Executive Administrative Assistant
Key Responsibilities:
- Manage complex calendars, schedule meetings, coordinate travel arrangements, and ensure executives are prepared for daily priorities
- Draft, review, and format executive communications, reports, and presentations
- Serve as a liaison between executives and internal/external stakeholders, prioritizing correspondence and requests
- Prepare materials for board meetings, investor relations briefings, and regulatory filings
- Maintain accurate records of meeting minutes, follow-ups, and compliance documentation
- Organize events such as earnings calls, shareholder meetings, and internal leadership conferences
- Oversee expense reporting and coordinate executive reimbursements
- Safeguard confidential documents and corporate records in line with internal policies and regulatory requirements
- Assist in drafting internal communications and press materials related to corporate updates
Qualifications:
- Associate’s degree in Business, Communications, or related field preferred
- Minimum of 5 years of experience supporting senior executives, ideally in a public company or regulated industry
- Experience coordinating with boards, shareholders, or regulatory agencies strongly preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and business communication platforms
- Strong knowledge of financial documentation, compliance, and governance best practices
- Excellent writing, communication, and interpersonal skills
- High degree of professionalism and ability to handle confidential information with discretion
- Ability to manage multiple priorities, deadlines, and shifting needs with ease
