Job Description

Title: Executive Administrative Assistant

Key Responsibilities:

  • Manage complex calendars, schedule meetings, coordinate travel arrangements, and ensure executives are prepared for daily priorities
  • Draft, review, and format executive communications, reports, and presentations
  • Serve as a liaison between executives and internal/external stakeholders, prioritizing correspondence and requests
  • Prepare materials for board meetings, investor relations briefings, and regulatory filings
  • Maintain accurate records of meeting minutes, follow-ups, and compliance documentation
  • Organize events such as earnings calls, shareholder meetings, and internal leadership conferences
  • Oversee expense reporting and coordinate executive reimbursements
  • Safeguard confidential documents and corporate records in line with internal policies and regulatory requirements
  • Assist in drafting internal communications and press materials related to corporate updates

Qualifications:

  • Associate’s degree in Business, Communications, or related field preferred
  • Minimum of 5 years of experience supporting senior executives, ideally in a public company or regulated industry
  • Experience coordinating with boards, shareholders, or regulatory agencies strongly preferred
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and business communication platforms
  • Strong knowledge of financial documentation, compliance, and governance best practices
  • Excellent writing, communication, and interpersonal skills
  • High degree of professionalism and ability to handle confidential information with discretion
  • Ability to manage multiple priorities, deadlines, and shifting needs with ease
