Job Description

Title: Office Service Coordinator

Responsibilities:

  • Oversee day-to-day office operations including mail, commissary, transportation, janitorial services, and off-site storage
  • Manage building service requests and ensure timely execution of repairs and maintenance
  • Track facilities budgets and capital improvement projects across multiple offices
  • Maintain Emergency Action Plan (EAP), coordinate drills, and update floor warden lists and safety equipment
  • Lead vendor engagement in collaboration with the Strategic Purchasing team; monitor performance and cost efficiency
  • Support space planning efforts and workplace logistics; maintain occupancy data and execute layout changes as needed
  • Serve as liaison to Property Management and internal departments; address escalated workplace concerns
  • Promote safety, sustainability, and energy conservation practices across office operations
  • Contribute to development and implementation of new workplace technologies and process improvements
  • Prepare financial reports, cost tracking, and variance analyses for multiple locations

Qualifications:

  • Bachelor’s degree required
  • 3–5 years of office/facilities management or corporate services experience, including supervisory responsibilities
  • Strong verbal and written communication skills; ability to interact with senior stakeholders and cross-functional teams
  • Working knowledge of building systems, blueprints, and lease agreements
  • Proficient in Microsoft Excel, Word, PowerPoint; familiarity with SAP, Coupa, and Google Workspace is a plus
  • Experience in budgeting, project coordination, and vendor management
  • Self-motivated, analytical, and able to prioritize in a dynamic environment
  • Comfortable serving as the “go-to” person for office-wide operations and problem resolution
