Job Description

Title: Member & Customer Services Associate

Responsibilities:

  • Respond to member and customer inquiries via phone, email, and written correspondence regarding membership, dues, educational programs, journals, and product orders
  • Maintain integrity and accuracy of the association’s membership database, including updates to contact information and practice details
  • Process new member applications and coordinate with internal teams to ensure completeness and compliance with requirements
  • Provide support for member onboarding and fulfillment processes; track submissions and maintain digital member files
  • Monitor shared mailboxes and phone lines for the education department, resolving questions about registration, courses, and learning platforms
  • Assist with billing and collection of membership dues, registration fees, and product orders
  • Coordinate logistics for journal and product fulfillment, including managing back issues, shipment tracking, and vendor communication
  • Support data entry and reconciliation projects across multiple departments
  • Assist with preparation and packing for major meetings such as the Annual Meeting and Board of Directors meetings
  • Ensure compliance with PCI standards and internal security protocols when handling member payment information

Qualifications:

  • High school diploma required; associate’s degree preferred
  • 2–3 years of experience in a membership-based organization, nonprofit, or customer service environment
  • Experience with database maintenance and data entry (Personify or similar AMS a plus)
  • Strong written and verbal communication skills
  • Detail-oriented and able to multitask in a high-volume environment
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Previous experience handling registration, product orders, or subscription fulfillment preferred
  • Strong customer service mindset and professionalism in external communications
