Job Description

Key Responsibilities:

  • Abstract and interpret commercial leases and associated documentation
  • Maintain lease data accuracy within CoStar and document management systems
  • Track critical dates such as expirations, option periods, and termination rights
  • Reconcile lease invoices and generate reports for review
  • Manage monthly rent rolls, ensuring timely rent processing and accurate payments
  • Coordinate the collection and tracking of Certificates of Insurance and Security Deposits
  • Collaborate with various teams (including office, retail, and data center leasing) to provide tailored support
  • Prepare journal entries under ASC 842/IFRS 16 with support (training available if needed)
  • Distribute fully executed lease documents to appropriate departments
  • Identify opportunities for process improvement and contribute to departmental initiatives
  • Handle ad hoc assignments and administrative tasks as requested

Qualifications:

  • Minimum 2–4 years of experience in a commercial lease administration setting (office or retail; residential not applicable)
  • Strong lease abstraction and lease interpretation experience required
  • Excellent attention to detail and ability to deliver error-free documentation
  • Bachelor’s degree preferred (not required with sufficient experience)
  • Proficiency in Microsoft Excel and other MS Office applications
  • Strong analytical, problem-solving, and data reconciliation skills
  • Ability to adapt to different team workflows and function well across multiple departments
  • Experience with CoStar or similar lease management platforms is a plus
  • Ability to manage priorities in a dynamic, deadline-driven environment
