Job Description
Title: Grants and Contracts Specialist
Key Responsibilities
- Draft, issue, and manage a high volume of subawards and consulting agreements in compliance with funder terms and internal policies
- Provide support during proposal processes, including review of solicitations (RFPs, RFQs) and final submission of funding applications
- Assist program teams in preparing and hosting RFPs and RFQs, including support in platforms like SlideRoom
- Collaborate with internal legal and procurement teams to finalize award documents, contracts, and amendments with accurate flow-down terms
- Confirm proper procurement steps have been followed, and verify that proposed costs are reasonable and budget-aligned
- Partner with cross-functional stakeholders (Legal, Finance, HR, Program Directors) to execute award and contract packages
- Advise program teams on policy adherence and compliance requirements
- Submit mandatory federal reports, including FFATA submissions, in a timely and accurate manner
- Monitor and process invoices, reviewing for contractual alignment and documentation integrity
- Track all subaward, contract, and payment data using platforms such as Salesforce, Workday, and government portals including SAM.gov and DRGR
- Document and confirm cost share agreements
- Manage closeout of expired agreements and support offboarding of consultants or subrecipients
- Maintain accurate records and ensure file completeness throughout the award lifecycle
- Contribute to special projects as assigned
Requirements
- Bachelor’s degree in business administration, public administration, or a related discipline (or equivalent experience)
- 5+ years of experience managing contracts and subawards, especially with federal and philanthropic funding sources
- In-depth knowledge of 2 CFR 200 Uniform Guidance and demonstrated ability to apply federal compliance standards
- Proven ability to balance competing priorities in a fast-paced, deadline-driven environment
- Excellent relationship management, problem-solving, and communication skills
- Strong proficiency in Microsoft Office, especially Excel; experience with Salesforce and Workday is preferred
- Familiarity with SlideRoom and federal grant platforms is a plus
