Job Description
Title: Executive Assistant
Key Responsibilities:
- Manage complex, dynamic calendars for multiple senior leaders, including scheduling across time zones
- Coordinate travel logistics and develop detailed itineraries and agendas
- Prepare meeting agendas, coordinate materials, and take and distribute meeting notes as needed
- Maintain executive rhythms including recurring meetings, events, and deadlines
- Monitor and triage email, messages, and communications on behalf of executives
- Partner with the Chief of Staff and other Executive Assistants to ensure team-wide alignment
- Organize internal and external meetings, lunches, dinners, and offsite events
- Update and maintain organizational charts in Microsoft Visio
- Provide proactive administrative support to anticipate executive needs
- Handle confidential matters with discretion and professionalism
Qualifications:
- 5–7+ years of experience in a senior-level Executive Assistant role, preferably in a high-growth or global organization
- Bachelor’s degree preferred but not required
- Prior success managing multiple executives with fast-moving schedules
- Strong judgment, adaptability, and professionalism under pressure
- Proficient in Microsoft Office Suite; familiarity with Visio is a plus
- Exceptional written and verbal communication skills
- Strong team orientation, with a humble and collaborative approach
