Job Description
Billing Specialist
Responsibilities:
- Ensure clients and matters are set up in accordance with client and Partner requirements, incorporating necessary e-billing task/activity codes, matter ID, budgets, and alternative fee arrangements where applicable.
- Review, analyze, and ensure compliance with client’s Outside Counsel Billing Guidelines, processing proformas and invoices accurately and efficiently in alignment with fee agreements and guidelines.
- Document and update Partner and client billing protocols as needed to ensure clarity and consistency.
- Prepare proformas for review and approval by billing attorney.
- Transmit and ensure successful submission of e-bills, resolving rejection issues with e-billing team and client.
- Establish and maintain effective communication with clients’ financial teams to facilitate expedited processing of firm invoices, troubleshooting invoice-related issues promptly.
- Respond to client inquiries in a timely manner, escalating issues as needed to manager.
- Monitor Work In Progress (WIP), aged accounts receivable, and unallocated balances, collaborating with Partners to review inventory and ensure timely relief of WIP.
- Collaborate with attorneys and administrative departments to provide solution-oriented customer service and address inquiries efficiently.
- Research and recommend solutions to reduce inefficiencies and improve processes.
- Collaborate with billing/collection team, finance personnel, Partners, and legal staff to achieve firm goals.
Qualifications:
- Bachelor’s degree in Accounting, Business, or equivalent experience required.
- 5+ years’ experience in large law firm billing department.
- Proficiency in Elite Enterprise or 3E preferred; experience with BillBlast, eBilling Hub, and E-Billing vendor sites preferred.
- Strong proficiency in MS Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively, meet strict deadlines, and maintain attention to detail
