Job Description

Title: Litigation Legal Secretary

Primary Responsibilities:

  • Manage attorney calendars, coordinate meetings, book travel, and arrange video and conference calls
  • Draft, proofread, edit, and finalize legal documents including pleadings, letters, and briefs
  • Format, file, and organize electronic and hard copy case documents in accordance with firm and court guidelines
  • Prepare and submit expense reports and legal billing documentation
  • Monitor and enter attorney time entries; follow up on missing submissions and revisions
  • Conduct research and route correspondence and court filings as needed
  • Handle incoming calls and emails professionally; liaise with clients and internal departments on behalf of attorneys
  • Maintain and organize case files in compliance with firm records protocols
  • Support visiting attorneys and firm leadership when needed
  • Coordinate mailings, maintain contact lists, and manage practice group updates and internal workflows
  • Handle special projects and overflow work as assigned

Key Qualifications:

  • 2–10+ years of administrative support experience in a legal or professional services setting
  • Demonstrated familiarity with litigation support processes, legal terminology, and court procedures
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint); ability to learn firm-specific tools (e.g., DMS)
  • Typing speed of 60–70 WPM preferred
  • Strong communication skills and professional demeanor
  • Meticulous attention to detail with excellent organizational and time management abilities
  • Adaptable mindset and ability to anticipate team needs
  • High degree of discretion and professionalism when handling sensitive materials
  • Demonstrated ability to manage multiple deadlines and priorities
