Job Description

Our client a well known NYC based non-profit is looking for a grant accounting manager to join their team. This is a temporary to permanent, hybrid (4 days per week in office) with a great mission.

Grants & Contracts Manager

The Grants & Contracts Manager is responsible for overseeing one of two Grants & Contracts Teams reporting to the Director of Finance and Grants Management. Responsibilities include managing grant budget reviews, submissions, billing, modifications, closeouts, cash flow activities, and more. The role ensures timely and accurate invoicing and reporting to City, State, Federal, and private funders. The Manager also collaborates with leaders of legal practices and finance departments such as Payroll, Financial Planning and Analysis, Accounting, and Accounts Payable.

ESSENTIAL DUTIES/RESPONSIBILITIES

Leadership and Management

  • Conduct performance evaluations and recruit new staff for the Grants and Contracts Unit
  • Provide supervision and direction to the Unit’s team members and manage daily operations
  • Manage cross-departmental communication and collaboration across the organization
  • Help implement standards and success metrics for grants and contracts, ensuring accountability among staff

Financial Management and Reporting

  • Reconcile financial records within the accounting system and escalate delays in receivables
  • Support program-specific audits, process journal entries, and other ad hoc projects as required
  • Manage accounts receivable schedules and weekly cash flow forecasts with the Grant Revenue Accountant
  • Submit all financial reports in accordance with funder and internal requirements
  • Oversee grant closeouts, budget modifications, labor distribution adjustments, and financial reporting
  • Analyze grant awards to ensure correct budgeting and accounting for allowable expenses
  • Forecast monthly cash flow including grant spending, invoicing, and receipts

Strategy and Process Improvement

  • Ensure contract and grant goals are met through transparent and effective process management
  • Work with teams across the organization to optimize financial tools, processes, and systems
  • Develop and refine grants and contracts processes, structures, and success metrics in collaboration with leadership

Compliance and Relationship Management

  • Ensure funder fiscal policies and procedures are followed
  • Build and maintain trustworthy relationships with external funders and partners
  • Monitor and enforce adherence to internal fiscal guidelines and protocols

Team Development and Supervision

  • Identify and assign work responsibilities while documenting workflows and procedures
  • Participate in management training and apply up-to-date employment policies
  • Review and approve time off, leave, overtime, and remote work in line with internal policies
  • Track and manage team scheduling to ensure coverage and continuity
  • Supervise direct reports, provide performance feedback, and issue disciplinary actions if needed
  • Foster equity and inclusion through supervision practices and team development
  • Address and resolve employee complaints and conflicts with HR guidance
  • Encourage a culture of growth by identifying training opportunities and ensuring mandatory courses are completed
  • Lead change efforts within the team or department
  • Maintain performance accountability practices and improve unit outcomes

QUALIFICATIONS

Required:

  • Minimum of 5+ years in grants and contracts management with focus on compliance and reporting
  • Bachelor's degree in Finance, Accounting, Business Administration, or related field
  • Proficiency in accounting/budgeting tools (e.g., Financial Edge, Vena Solutions, Sage Intacct)
  • Understanding of NYC and NYS funding agency regulations
  • Ability to analyze data, manage priorities, and meet deadlines
  • Strong leadership experience, preferably managing teams

Preferred:

  • Familiarity with portals such as PASSPort, HHS Accelerator, GMS, SFS, Fluxx
  • Master’s degree in Finance, Accounting, Business, or related field
  • Prior experience developing financial systems and process improvements
  • At least 2 years of supervisory experience
  • Understanding of non-profit grant billing and reporting practices
  • Experience with audit processes and compliance
