Job Description
Title: Executive Assistant / Office Manager
Responsibilities:
- Manage calendars, schedule meetings, and coordinate travel for two managing partners
- Handle occasional personal tasks (e.g., family appointments, light errands, insurance paperwork)
- Draft and proofread emails, letters, and communications
- Assist junior team members with ad hoc admin needs
- Maintain and update the firm’s contact database
- Serve as point of contact for vendors and service providers
- Greet visitors and assist with conference room setup for meetings
- Process invoices and liaise with outsourced accounting firm
- Order and stock kitchen and office supplies
- Handle occasional reception and facilities-related tasks
Qualifications:
- 5–7 years of administrative experience, including at least one role within financial services
- Proficient in Microsoft Office Suite; familiarity with Salesforce a plus
- Professional, polished demeanor with strong written and verbal communication skills
- Highly organized, detail-oriented, and proactive
- Comfortable working in a small office with a flat, team-oriented structure
