Job Description

Title: Executive Assistant / Office Manager

Responsibilities:

  • Manage calendars, schedule meetings, and coordinate travel for two managing partners
  • Handle occasional personal tasks (e.g., family appointments, light errands, insurance paperwork)
  • Draft and proofread emails, letters, and communications
  • Assist junior team members with ad hoc admin needs
  • Maintain and update the firm’s contact database
  • Serve as point of contact for vendors and service providers
  • Greet visitors and assist with conference room setup for meetings
  • Process invoices and liaise with outsourced accounting firm
  • Order and stock kitchen and office supplies
  • Handle occasional reception and facilities-related tasks

Qualifications:

  • 5–7 years of administrative experience, including at least one role within financial services
  • Proficient in Microsoft Office Suite; familiarity with Salesforce a plus
  • Professional, polished demeanor with strong written and verbal communication skills
  • Highly organized, detail-oriented, and proactive
  • Comfortable working in a small office with a flat, team-oriented structure
  • No college degree required, but strong administrative fundamentals are essential
