Overview
- Join a dynamic team as a Client Service Associate/Portfolio Administrator supporting portfolio managers and private wealth clients.
- Provide exceptional client service, account administration, and operational support in a fast-paced financial services environment.
- Work in a hybrid arrangement with four days in-office and Fridays remote.
- Contribute to process improvements and enhance operational efficiency and client servicing experience.
- Engage with internal staff and external professionals for seamless client experience delivery.
- Handle inbound communications professionally, including reception phone coverage and mail duties.
- Maintain accurate client records and documentation in CRM systems and portals.
- Support private investment transactions and assist with associated documentation processing.
Key Responsibilities & Duties
- Act as primary contact for clients, resolving inquiries and providing operational support.
- Facilitate client onboarding, account setup, and transfer processing across systems.
- Coordinate cash and asset movements, including wires, checks, and recurring transfers.
- Manage account maintenance tasks such as ownership changes and estate-related servicing.
- Prepare and distribute client reports, appraisals, tax documents, and performance summaries.
- Ensure adherence to firm policies, procedures, and regulatory requirements.
- Collaborate with custodians and internal teams for smooth operational workflows.
- Identify opportunities for process improvements and operational enhancements.
Job Requirements
- Bachelor’s degree and 5+ years of client service or administration experience, preferably in financial services.
- Familiarity with investment products, portfolio statements, and custodial systems.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in Microsoft Office suite; CRM and SS&C Advent Axys/Moxy experience preferred.
- Ability to manage multiple tasks and meet deadlines with accuracy.
- High level of professionalism and client service orientation.
- Knowledge of firm policies and regulatory requirements is advantageous.
- Experience in process improvement and operational efficiency initiatives.
