Job Description

Overview

  • Join a dynamic team as a Client Service Associate/Portfolio Administrator supporting portfolio managers and private wealth clients.
  • Provide exceptional client service, account administration, and operational support in a fast-paced financial services environment.
  • Work in a hybrid arrangement with four days in-office and Fridays remote.
  • Contribute to process improvements and enhance operational efficiency and client servicing experience.
  • Engage with internal staff and external professionals for seamless client experience delivery.
  • Handle inbound communications professionally, including reception phone coverage and mail duties.
  • Maintain accurate client records and documentation in CRM systems and portals.
  • Support private investment transactions and assist with associated documentation processing.

Key Responsibilities & Duties

  • Act as primary contact for clients, resolving inquiries and providing operational support.
  • Facilitate client onboarding, account setup, and transfer processing across systems.
  • Coordinate cash and asset movements, including wires, checks, and recurring transfers.
  • Manage account maintenance tasks such as ownership changes and estate-related servicing.
  • Prepare and distribute client reports, appraisals, tax documents, and performance summaries.
  • Ensure adherence to firm policies, procedures, and regulatory requirements.
  • Collaborate with custodians and internal teams for smooth operational workflows.
  • Identify opportunities for process improvements and operational enhancements.

Job Requirements

  • Bachelor’s degree and 5+ years of client service or administration experience, preferably in financial services.
  • Familiarity with investment products, portfolio statements, and custodial systems.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency in Microsoft Office suite; CRM and SS&C Advent Axys/Moxy experience preferred.
  • Ability to manage multiple tasks and meet deadlines with accuracy.
  • High level of professionalism and client service orientation.
  • Knowledge of firm policies and regulatory requirements is advantageous.
  • Experience in process improvement and operational efficiency initiatives.
