Job Description

Overview

  • Provide temporary administrative support to the grants payment team, ensuring efficient processing and management of grant-related tasks.
  • Perform data entry and validation tasks, maintaining accuracy and compliance with organizational standards.
  • Collaborate with internal teams to manage institution certifications and contact information within grants management systems.
  • Assist in resolving payment holds by verifying institution certifications and tax statuses.
  • Support email communication efforts, responding to inquiries and ensuring timely follow-ups.
  • Contribute to the documentation of standard operating procedures for grants payment processes.
  • Develop expertise in grants management systems and applications to enhance operational efficiency.
  • Engage in special projects and data migration tasks as required by the team.

Key Responsibilities & Duties

  • Manage institution certification processes, including profile reviews and tax status verification using GuideStar Charity Check.
  • Address payment holds by validating certifications and resolving tax status issues.
  • Oversee contact management and validation within grants management systems.
  • Respond to email inquiries and manage shared inboxes effectively.
  • Send reminders for internal reporting deadlines and external deliverables.
  • Track and process grant refunds while maintaining accurate records.
  • Document procedures using ProcessStreet and maintain project tracking logs.
  • Prepare reports and schedules for meetings, including agenda creation.
  • Participate in special projects, data migration, and cleanup efforts.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in a relevant field.
  • Minimum of 1 year of experience in administrative or grants-related roles.
  • Strong attention to detail and ability to manage data accurately.
  • Proficiency in grants management systems such as ProposalCentral and SmartSimple.
  • Experience with tax status verification tools like GuideStar Charity Check.
  • Excellent organizational and time management skills to meet deadlines.
  • Ability to work onsite four days a week, with occasional remote work.
  • Effective communication skills for managing inquiries and coordinating tasks.
  • Willingness to assist with special projects and adapt to dynamic requirements.
