Job Description

Overview

  • Provide high-level administrative support to the executive team within a fast-paced financial services environment.
  • Manage complex calendars, scheduling meetings, and coordinating appointments to ensure optimal time management.
  • Serve as a liaison between executives and internal/external stakeholders, maintaining professional communication.
  • Handle confidential information with discretion and maintain organizational standards.
  • Prepare reports, presentations, and correspondence to support executive decision-making.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries for executives.
  • Ensure the smooth operation of daily administrative functions within the office environment.

Key Responsibilities & Duties

  • Manage and prioritize executive calendars, ensuring efficient scheduling and conflict resolution.
  • Coordinate and prepare materials for meetings, including agendas and presentations.
  • Assist in the planning and execution of company events and initiatives.
  • Maintain accurate records and documentation for reference and compliance purposes.
  • Provide support in HR-related tasks, including onboarding and employee engagement activities.
  • Monitor and manage office supplies and equipment to ensure operational efficiency.
  • Collaborate with team members to improve administrative processes and workflows.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in business administration or related field.
  • Minimum of 5 years of experience in administrative support roles; 7 years preferred.
  • Proven expertise in calendar management and scheduling in a corporate setting.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Experience in financial services or similar industry is highly desirable.
