Job Description

Overview

  • Serve as the primary liaison between the firm and Fund Managers, ensuring seamless communication and effective fund administration.
  • Coordinate onboarding processes, investment activities, and redemption requests with private fund entities.
  • Prepare and review documentation including AML/KYC, tax documents, and legal agreements.
  • Support internal departments such as Advisor Support, Accounting, Research, and Business Development in workflow coordination.
  • Assist in annual external audits by collaborating with auditors and providing necessary documentation.
  • Track fund close dates and maintain historical investment records to ensure deadlines are met.
  • Participate in internal and external meetings to address fund-related inquiries and disseminate documents.
  • Contribute to strategic planning and organizational growth through proactive team collaboration.

Key Responsibilities & Duties

  • Act as the main point of contact between the firm and Fund Managers for all communications.
  • Coordinate and manage investment activities, including initial investments and redemption requests.
  • Prepare and organize required documentation for compliance and legal purposes.
  • Facilitate interdepartmental collaboration to ensure efficient workflow and timely delivery of materials.
  • Assist in external audits by providing comprehensive support and documentation.
  • Maintain accurate records of fund close dates and historical investment data.
  • Distribute necessary materials and confirmations to Fund Managers as required.
  • Gather and provide data requests related to fund operations and investment history.

Job Requirements

  • Bachelor’s degree in a relevant field such as Business Administration or Finance.
  • Minimum of 2 years of experience in Investor Services, Paralegal, or legal assistant roles.
  • Exceptional organizational skills with attention to detail and accuracy.
  • Proficiency in handling tax documents and legal agreements is advantageous.
  • Strong written and verbal communication skills for effective stakeholder engagement.
  • Strategic planning and time-management skills to meet deadlines efficiently.
  • Ability to collaborate with teams and contribute to organizational growth.
  • Experience in coordinating audits and managing compliance-related tasks.
