Job Description

Overview

  • Manage investment operations for a family office, ensuring efficient processes and compliance.
  • Collaborate with external service providers and internal teams to support strategic initiatives.
  • Oversee investment performance reporting and data reconciliation using industry-standard tools.
  • Coordinate generational wealth transfer, tax filings, and legal documentation.
  • Lead onboarding processes for new investments and manage subscription documentation.
  • Track capital calls, tax payments, vendor invoices, and fund distributions.
  • Ensure compliance with KYC and AML requirements for partnerships.
  • Foster a collaborative and proactive work environment within the family office.

Key Responsibilities & Duties

  • Support strategic tasks across investment management, estate planning, and legal operations.
  • Manage relationships with external service providers, including legal and accounting teams.
  • Coordinate with private banks and advisors for wealth transfer and investment transactions.
  • Oversee investment reporting and reconciliation using Addepar and Mirador systems.
  • Aggregate and report family and office balance sheets in collaboration with accounting teams.
  • Lead project management efforts, coordinating legal and accounting resources.
  • Ensure compliance with KYC and AML regulations for new and existing partnerships.
  • Manage onboarding processes for investments and oversee documentation execution.

Job Requirements

  • Bachelor's degree required; advanced degree preferred.
  • Minimum 5 years of operational experience in fund administration or family office.
  • Proficiency in Addepar and Mirador systems is highly desirable.
  • Strong attention to detail and ability to manage diverse responsibilities.
  • Excellent communication skills, both written and verbal.
  • Proactive team player with a professional demeanor.
  • Ability to prioritize tasks and meet project timelines effectively.
