Job Description

Overview

  • Serve as a temporary Project Manager to support executive leadership during maternity leave coverage.
  • Collaborate closely with the President and Executive Assistant to manage strategic initiatives and workflows.
  • Plan and execute projects across departments, ensuring alignment with organizational goals.
  • Coordinate project timelines, deliverables, and responsibilities using project management tools.
  • Conduct research and analysis to support decision-making and strategic planning.
  • Draft internal communications, reports, and presentations for leadership meetings.
  • Ensure confidentiality and clear communication across teams and stakeholders.
  • Support process improvement initiatives to enhance operational efficiency.

Key Responsibilities & Duties

  • Partner with leadership to prioritize initiatives and track progress toward strategic goals.
  • Prepare briefing materials, meeting agendas, and follow-up summaries for executive meetings.
  • Plan, execute, and monitor cross-departmental projects using tools like Asana or Notion.
  • Develop project timelines, assign responsibilities, and track deliverables effectively.
  • Identify risks, resolve blockers, and maintain clear communication channels across teams.
  • Draft internal communications, reports, and presentations for leadership and board meetings.
  • Coordinate cross-functional projects, meetings, and special events as needed.
  • Support process improvement and documentation initiatives to enhance operational efficiency.

Job Requirements

  • Bachelor’s degree strongly preferred, ideally in a related field.
  • 5-7 years of experience in project management, operations, or executive support.
  • Proficiency with productivity and collaboration tools such as Google Workspace, Notion, or Asana.
  • Strong organizational, analytical, and communication skills.
  • Comfortable managing multiple priorities and deadlines with minimal supervision.
  • Highly resourceful, adaptable, and detail-oriented professional.
  • Experience in a fast-paced environment, such as start-ups or hospitality, is advantageous.
  • Familiarity with project management software is a plus.
