Overview
- Provide comprehensive administrative support to legal professionals in a dynamic law firm environment.
- Coordinate office procedures and workflows to ensure efficiency and compliance with firm policies.
- Assist with document preparation, formatting, and proofreading for transactional and litigation clients.
- Manage client onboarding processes, including conflict checks and billing assignments.
- Support multiple lawyer assignments, organizing clerical functions to meet administrative and client needs.
- Coordinate travel arrangements and process expense reports for legal professionals.
- Maintain accurate client files and records using document management systems.
- Schedule and organize meetings, conferences, and appointments using firm-specific software.
- Ensure a safe and organized work environment while adhering to firm standards.
Key Responsibilities & Duties
- Prepare, format, and finalize legal documents, correspondence, and memoranda with accuracy and attention to detail.
- Collaborate with peers and support staff to meet firm and client goals efficiently.
- Manage lawyer time entries, ensuring compliance with client billing requirements.
- Coordinate travel arrangements and process related expenses for legal professionals.
- Proofread documents to ensure grammatical and syntactical accuracy.
- Handle incoming and outgoing communications, including mail and telephone calls.
- Schedule and coordinate meetings, conferences, and appointments using firm-specific tools.
- Maintain client information and calendars using firm software and procedures.
- Support client billing processes in collaboration with billing services.
Job Requirements
- High school diploma or GED required; additional certifications are advantageous.
- Minimum of 5 years of relevant experience in legal administrative support.
- Proficiency in Microsoft Office Suite, NetDocs, Adobe Pro, and other legal-specific software.
- Ability to type accurately at a minimum speed of 60 words per minute.
- Strong knowledge of legal terminology and document formats.
- Experience in coordinating travel arrangements and managing expense reports.
- Excellent organizational and multitasking skills to manage multiple assignments.
- Ability to maintain confidentiality and demonstrate professionalism in all interactions.
