Job Description

Overview

  • Provide comprehensive administrative support to the Business Development team in a fast-paced, professional environment.
  • Coordinate schedules, meetings, and travel arrangements across multiple time zones with efficiency and discretion.
  • Assist in preparing presentation materials and organizing client meetings and events.
  • Support onboarding processes for new team members, including IT setup and training coordination.
  • Collaborate with international teams to ensure seamless communication and operations.
  • Maintain professionalism and confidentiality in all interactions and communications.
  • Contribute to special projects and initiatives, demonstrating adaptability and problem-solving skills.

Key Responsibilities & Duties

  • Manage complex calendars and schedule meetings for executives and the Business Development team.
  • Coordinate travel arrangements, conference bookings, and logistics for team activities.
  • Prepare and circulate meeting minutes, ensuring accurate documentation of discussions.
  • Organize internal meetings to support ongoing projects and fundraising efforts.
  • Handle sensitive information with discretion and uphold confidentiality standards.
  • Communicate effectively on behalf of executives, both verbally and in writing.
  • Collaborate with global team members to ensure operational efficiency and alignment.

Job Requirements

  • Bachelor’s degree preferred, with a minimum of 5 years of executive-level administrative experience.
  • Experience in financial services or similar fast-paced industries is advantageous.
  • Proficiency in Microsoft Office Suite and calendar/email systems like Outlook or Google Workspace.
  • Exceptional organizational skills and ability to manage competing priorities effectively.
  • Strong attention to detail and ability to maintain composure under pressure.
  • Excellent verbal and written communication skills for professional interactions.
