Job Description

Overview

  • Support international programs by coordinating logistics, communications, and administrative tasks to ensure seamless execution of global initiatives.
  • Collaborate with multidisciplinary teams to manage travel arrangements, meetings, and program activities for international scholars.
  • Promote exchange and resident programs to the global community, enhancing visibility and participation.
  • Maintain detailed records and documentation for program participants and activities to ensure compliance and accuracy.
  • Assist with financial tasks, including processing reimbursements and tracking program budgets.
  • Develop partnerships with training centers to expand hosting opportunities for international programs.
  • Contribute to program evaluation through surveys and outcomes assessments to drive continuous improvement.
  • Support the marketing and outreach efforts to increase engagement and awareness of international initiatives.

Key Responsibilities & Duties

  • Manage communications, including responding to inquiries and maintaining international program inboxes.
  • Coordinate application processes, database management, and selection procedures for scholar exchange programs.
  • Collaborate with guest speakers, vendors, and participants to ensure smooth program execution.
  • Draft correspondence, reports, agendas, and materials related to international activities.
  • Organize international meetings and educational events during annual gatherings.
  • Coordinate shipping of exhibit booth materials and donations to designated locations.
  • Administer group membership processes for international organizations and facilitate member communications.
  • Support special projects and collaborate across departments to achieve program goals.

Job Requirements

  • Bachelor’s degree required, preferably in a related field such as international studies or administration.
  • 3-4 years of administrative experience, ideally within international programs or similar roles.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent interpersonal and communication skills for effective collaboration and stakeholder engagement.
  • Ability to adapt to changing priorities and work cross-functionally in a dynamic environment.
